Adult Group Policies

Rivar’s, Inc. has sample garments available for most garments shown in our past and present catalogs and promotional pieces. If you are interested in seeing a sample garment from a catalog, please contact your account manager to see if one is available.

Rivar’s, Inc. sends samples as a free service. As a group, you are responsible for returning the samples by the date noted on the packing slip inside the box. Credit card information is required to guarantee the samples will be returned on time. If the samples are returned past the due date provided, your credit card will be charged for the value of the samples, plus a $25 non-refundable service charge. A shipping call tag will be included with the shipment to pay for return shipment. (Please note: Rivar’s, Inc. does not provide a shipping call tag to customers outside of the United States. International customers are responsible for paying return postage for any requested sample garments.)

All adult groups are required to purchase a prototype in the exact style and fabric before moving forward with sizing. Production time for prototypes is 2-4 weeks. Longer lead times may apply if design work is needed, or during times of high production demands. Contact your account manager to confirm lead time. Prototypes must be received and approved in writing before moving forward with sizing. Rivar’s, Inc. does not guarantee that fabric dye lots will be consistent from a prototype to an order. Prototypes are made-to-order, and no returns or exchanges will be accepted. Prototypes are still non-returnable/exchangeable in the event that a fabric is delayed or discontinued for an order.

All adult groups are required to purchase a size run in the exact style and fabric they are ordering. A size run must consist of consecutive sizes, and the individual sizes must be standard. Ordering a size run ensures consistency and accuracy in fitting. Please allow at least 6-8 weeks for the production of a size run. Contact your account manager to confirm lead time. Size runs are made-to-order, and no returns or exchanges are accepted.

Rivar’s, Inc. will assess a $35 Made-to-Measure fee per garment for any individual who falls outside our standard size range. Please contact your account manager for specific size range information for the garment you are ordering.

Adjustments to Size
Some adjustments to an individual’s standard size may be allowed, depending on the style. Contact your account manager for specific information about adjustments that are allowed for your order. All adjustments will be at an additional charge, if allowed. Additional charges will depend on style, fabric and type of adjustment.

Ordering Instructions
To ensure consistent dye lots, Rivar’s, Inc. requires that three orders be placed at once: The size run order, complete order and reserve fabric order. Payment required is a 50% deposit on the size run order, 50% deposit on the complete order and payment in full on the reserve fabric order. For the complete order, please provide the total number of garments that will be ordered, and sizes will be determined at a later date. This allows Rivar’s, Inc. to order the fabric needed for all three orders at one time.

Complete a Rivar’s order form and return it to Rivar’s, Inc. by fax, mail or e-mail. Telephone orders will only be accepted for stock items that do not require sizing information. No order will be processed until a payment method is met. Custom garment orders will not be put into production until Rivar’s, Inc. has received proper payment information, complete sizing information and a signed order confirmation. Order confirmations are sent via e-mail within 48 hours of our receipt of your complete order.

Payment Options

  1. Prepayment in full (Check, Credit Card, Money Order). We accept VISA, MasterCard, Discover and American Express. Be sure to include the name as it appears on the credit card, expiration date, security code and billing address for cardholder.
  2. 50% deposit with balance paid in full prior to shipment.

** A NSF fee of $35 will be charged for any check returned for insufficient funds.

Shipping & Handling Charges
Rivar’s, Inc. standard shipping method is ground service.

  • Ground: 7% of order total ($15 minimum)
  • 3 Day: 8% of order total ($20 minimum)
  • 2nd Day Air: 9% of order total ($25 minimum)
  • Next Day Air: 15% of order total ($40 minimum)

Above rates apply to continental USA only for standard business day delivery.

  • Alaska, Hawaii and Canada Ground Service: 9% of order total ($20 minimum)
  • International Shipments Global (5-10 business days): 20% of order total ($50 minimum)

All duties and taxes on shipments outside the United States are the customer’s responsibility and will be collected upon delivery.

International Sample Shipments: Rivar’s, Inc. does not provide a shipping call tag to customers outside of the United States for any sample/sizing garment shipments. International customers are responsible for paying return postage for any requested sample/sizing garments.

Risk of Loss: All risk of loss shall be borne by Rivar’s, Inc. until the goods are shipped via traceable carrier from Rivar’s, Inc. location at 9900 Westpoint Dr., Suite 132 Indianapolis, Indiana 46256 at which time the customer shall assume all risk of loss.

Please contact your account manager for a price based on the specific style and fabric you are ordering. Pricing for adult groups may differ from printed prices in youth catalogs. Confirm all prices with your account manager. We reserve the right to correct any typographical errors printed. Prices are subject to change without notice. We will notify you via your order confirmation of any price discrepancies on your order.

Order Time
Please allow at least 6-8 weeks for custom garments manufactured by Rivar’s, Inc. Contact your account manager to confirm lead-time. Rush orders may be available, pending production schedule availability and a $25 rush fee per garment. Rivar’s, Inc. cannot be responsible for orders not placed in a timely manner or sent to us with incomplete information. Orders for Rivar’s, Inc. manufactured garments cannot be cancelled once they have been placed. Ship dates will be assigned according to the requirements for each custom order. Quoted ship dates will represent the estimated day that your garments will leave our facility. We assume no liability for delays beyond our control to obtain supplies, raw materials, or conditions which include delays of carriers, accidents, weather, strikes, war or other unavoidable causes.

Returning Merchandise
No returns or exchanges are accepted on Rivar’s, Inc. made-to-order garments. It is the customer’s responsibility to inspect all orders within 72 hours of receipt. Notify your account manager immediately of any problems. Rivar’s, Inc. will not be responsible for any custom garments that have been worn, altered or changed in any manner.

Returns and exchanges are accepted only on stock merchandise received by Rivar’s, Inc. within 30 days of original shipment. Contact your account manager for a Return Merchandise Authorization number. Items returned without the RMA number will be refused and returned to the customer. Items must be in restock condition with all original tags and/or packaging. No returns will be accepted on merchandise that has been worn or altered. All returns and exchanges are subject to a 15% restock fee. Rivar’s, Inc. will not reimburse shipping costs for items returned.

Swatches of all fabrics are available upon request at no charge. We are also happy to provide you with test swatches for cleaning, pressing and scrap amounts for small repairs if needed.

Fabric Availability & Dye Lots
Rivar’s, Inc. cannot guarantee fabric availability and/or dye lots. Talk with your account manager at the time of your original purchase to discuss options available for add-on garments. Please be aware that minimum yardage requirements do apply for some fabrics. We reserve the right to discontinue any styles or fabrics no longer available.

Fabric Care
Most of Rivar’s, Inc. garments are hand wash, cold water, hang to dry. Please refer to the fabric care sheet provided with your shipment or call our office for specific information. Hair spray, deodorant, perspiration and heat can and/or may cause major discoloration of sequins and other metallic fabrics. No warranty is expressed or implied on any garments manufactured by Rivar’s, Inc. Some loss of sequins and/or discoloration is to be expected with all types of sequins and metallic fabrics.

Custom Hemming
Custom hemming is available upon request at no additional charge for most dress and skirt styles. Contact your account manager for specific measuring instructions for your garment type. If no hem length is provided, short dresses will be hemmed to a standard 34” from underarm seam, short skirts 26” from natural waist. Full-length dresses will be hemmed a standard 54” from underarm seam, full-length skirts 45” from the natural waist. Please note special hem restrictions for style #2402SKT. Additional charges will apply for added length to standard measurements. Additional charges will vary based on fabric choice. Pant styles for both men and women come unhemmed.

Minimum Orders
A minimum order of four garments per style, fabric and color is required for all orders. Any orders of three garments or less will incur an additional charge of $10 per item.
